How a Training Provider Went from Four Spreadsheets to One Searchable Database — in Three Weeks
Perform Data Track was managing examination results across multiple spreadsheets with no single source of truth. We built a secure internal portal in three weeks — any result, searchable in under 10 seconds, with zero spreadsheet dependency.
The Problem
Perform Data Track manages examination results and assessment data for a training provider. Before this project, results were stored across multiple spreadsheets and managed manually — fragmented, error-prone, and impossible to search at scale.
The daily cost was significant:
- Examination results lived across multiple spreadsheets with no single source of truth
- Staff spent significant time cross-referencing and correcting data entry mistakes
- There was no reliable way to search, filter, or report across cohorts
- Data wasn't stored securely in a structured, auditable system
The goal: a secure internal portal that would centralise all assessment data and make it easy to input, retrieve, and report on results — without requiring any technical knowledge to use.
Before and After
| Before | After | |
|---|---|---|
| Data location | Multiple disconnected spreadsheets | Single structured database |
| Retrieval time | Minutes of manual searching | Under 10 seconds |
| Error risk | Manual entry, no validation | Validated forms, duplicate prevention |
| Access control | Shared spreadsheet files | Role-based authentication |
| Reporting | Manual export, error-prone | Built-in filter, search, and export |

Approach
I built a straightforward internal portal focused on doing one thing well: making it easy for staff to store, find, and review examination results accurately.
The system includes secure user authentication with role separation, structured data entry forms with validation, and search and filter tools so staff can locate results by student, cohort, or assessment date in seconds. A reporting interface lets administrators review performance data without needing to export anything manually.
The database was designed with data integrity as the priority — consistent formats, input validation, and duplicate prevention. The interface was kept deliberately simple: no unnecessary features, just the tools the team actually needed.
Results
The portal replaced a manual, fragmented process with one reliable system:
- Any result in under 10 seconds — search by student, cohort, or date rather than opening multiple files
- Zero spreadsheet dependency — all examination results now live in one secure, searchable database
- Fewer errors — structured input forms and validation prevent the data quality issues that came with manual entry
- Secure, auditable storage — results are stored consistently and accessible only to authorised staff
Managing examination results used to be a nightmare of spreadsheets and manual processes. The portal Oliver created gives us a single, secure place to store and review all our assessment data. It's been a game-changer for our workflow.
